Summary:
Bigfoot Management Group is seeking an Administrative Assistant/Receptionist to join our team.
The Administrative Assistant/Receptionist will play a vital role in the smooth functioning of our office.
Responsibilities include managing the team calendar, inventory and supplies, processing payments, and handling various office logistics.
Additionally, this individual will greet clients, manage phone calls, and assist with other administrative tasks as needed.
Requirements:
High School Diploma or equivalent required.
College Degree in Business, Marketing, Communications or other related field preferred.
Minimum of 2 years' experience in a similar role preferred.
Must have excellent customer service skills and problem solving abilities.
Must be able to work independently and as part of a team.
Must have ability to multitask and prioritize duties.
Must be able to work in a fast-paced environment with high levels of attention to detail and accuracy.
Must have ability to work in a team environment as well as independently.
Must be able to communicate effectively with clients, vendors, co-workers, and management.
Must be able to pass a pre-employment drug screen and criminal background check.
Helena, MT work authorization (Required).
Duties:
This position is under the supervision of the Operations Manager.
Answer phones and direct calls as needed; route calls appropriately; provide excellent customer service skills; answer questions about services; schedule appointments for clients; assist with billing; prepare invoices for collection follow-up; maintain client files; track client files by date/location of payments received; provide administrative support for the Managers; perform administrative duties such as filing documents, typing letters, scanning documents, etc.
; prepare reports, memos, emails, etc.
; prepare presentations as needed by the Operations Manager or other managers; perform other related duties as assigned by management.
